TERMS & CONDITIONS
The trips featured on this website are operated by Joe Armstrong, a sole trader, trading as Roam. Address: 8 Stanley Park, Easton, Bristol, BS5 6DU. The information provided on this website is, to the best of our knowledge or belief, correct at the time of publication, however, occasionally changes and errors occur and we reserve the right to correct prices and other details in such circumstances.
These Terms and Conditions, together with our privacy policy and any other information brought to your attention prior to confirmation of your booking, form the basis of your contract with Roam. Roam will hereafter be referred to as “we”, “our”, “us”. References to “you” and “your” means all persons named on the booking.
By making a booking, the first named person on the booking, or the group leader, agrees on behalf of all persons detailed on the booking, or any person(s) added to the booking at a later date, that he/she has read these terms and conditions and has the authority to and does agree to be bound by them and he/she accepts financial responsibility for payment of the booking on behalf of all persons detailed on the booking. All correspondence between Roam and the group will be made through the group leader.
BOOKING & PAYMENT
You must be at least 18 years old to make a booking with us.
Once we have received your booking enquiry, we will check availability and then contact you by email with your trip details, which will contain the specific details and price for your trip. To confirm your booking, we require a non refundable 25% p/p deposit for the whole group to be paid within 7 days of us issuing your trip details (or full payment if booking within 28 days prior to the start of your trip).
By paying your deposit you are agreeing to the information listed in your trip details.
The final balance is due 28 days prior to your trip start date.
We accept payments by bank transfer or PayPal. Payments via PayPal will incur a 3% charge.
PRICES
Prices listed on the website are accurate at the time of writing and are based on 2 people sharing accommodation. The price for your trip may differ from the price listed on the website. The exact price for your trip will be detailed on your booking confirmation. Once your deposit has been paid, unless you make changes to your booking as detailed in the cancellations, alterations & refunds section, the price will not change.
CANCELLATIONS, ALTERATIONS & REFUNDS
If you wish to cancel your trip, you must inform us by email with written confirmation. This should be done by the group leader who made the booking. The following charges apply from the date we receive your email:
More than 42 days prior to the start date date of your trip – deposit
42 – 29 days prior to the start date of your trip – 50% of the total cost
28 days or less prior to the start date of your trip – 100% of the total cost
If for any reason you leave the trip early or do not take part in a portion of it, you are not entitled to any refund.
If a member or members of the group booking wishes to cancel, (additional charges to those listed above may apply.) the above changes apply. Additional changes may be added if the cancellation results in additional accommodation costs. For example, if a triple room has been booked and 1 of the 3 people for whom the triple room was allotted to cancels, the total cost of that room will still need to be paid, therefore the proportion of the cost of that room for the person cancelling, will be added to their cancellation charge.
If you wish to add an extra person(s) to the booking after your deposit has been paid, this may be possible, but could increase the total group price as accommodation charges may have increased. The price for the extra person(s), plus any additional accommodation cost increases will be added to the final balance.
Should we need to cancel your trip due to circumstances beyond our control, we will offer you an alternative route or date or make a full refund. However, we cannot be held responsible for any costs or losses incurred. We reserve the right to alter your route or change your accommodation if circumstances out of our control require it, such as adverse weather conditions, being let down by a third party such as a campsite or B&B, or road closures.
TRANSPORT TO & FROM THE START/FINISH
Transport to and from the start/finish point is at your own expense. You are responsible for getting yourself to and from the start/finish point in good time for your briefing. We will provide details of when and where that will be prior to the start date of your trip.
Please allow plenty of time to allow for delays on your journey. If you fail to arrive at the start point within enough time to allow you to complete your first days cycling within daylight, you will not be able to start your trip and we cannot offer you a refund. If you are travelling a significant distance to the start point you may decide to travel the day before and book local accommodation. This would be at your own cost.
If travelling by private transport, your vehicles, including their contents, are parked at your own risk. You remain wholly responsible for assessing the suitability of any suggested car parking. We cannot be held responsible for any theft or damage that may occur to your vehicle.
It may be possible for you to leave some of your personal belongings with us whilst you are on your trip. We accept no responsibility for any loss, theft and/or damage to your personal belongings during this time.
It is your responsibility to ensure you allow adequate time to complete your route and be at the finish point at the agreed time, with sufficient time to return the bikes and equipment. Any expenses incurred as a result of a late finish are at your own expense.
FORCE MAJEURE
Force majeure means unusual, unpredictable and unavoidable events that are outside of the organisers control, and that prevent the contract to be fulfilled. During these conditions the organiser is free from liability or other consequences.
INSURANCE
We recommend that you are adequately insured for your trip. We cannot be held responsible for your illness, injury or for damage or loss to your luggage while on holiday. This insurance should also cover the possibility of your having to cancel your trip for whatever reason and cover any non returnable costs.
RISK
In taking part in one of our trips, you agree to do so at your own risk. In the event of an accident you are responsible for your own rescue. You will have our contact details and we will help where we can, but we may be up to and not limited to 2 hours away from the time of receiving your call.
CYCLING
Cycling comes with a high degree of risk. You must be able to ride a bike, loaded with packed bikepacking bags, on mixed-terrain, in a safe and controlled manner. We ask you to obey the Highway Code rules and respect nature by following the countryside code. We recommend you wear a helmet when cycling, which we will provide as part of the price. If you choose to bring your own helmet, it’s your responsibility to ensure it is in good working order.
Parts of your route may venture off the road and follow unpaved tracks, gravel roads or off road sections. If you encounter any part of the route which you do not feel confident to cycle, we recommend you get off and push your bike through that section.
Participants should be aware that some of our routes take part in remote and sparsely inhabited parts of the county where access to medical assistance can take a significant amount of time.
By booking a trip with Roam you are agreeing to these terms and conditions, you accept responsibility for your own safety and understand the risk and dangers involved.
SELF-GUIDED
Our trips are self-guided, that means you don’t have a guide coming along with you. Our routes are not marked out or signposted, Instead, we will provide you with a route to follow, and as such you are expected to be able to follow a navigation system on your handlebars, or follow a highlighted route on a map.
SELF-SUPPORTED
You should be aware that our trips are self-supported, that means that once you set off, you are on your own, committed to completing your journey unaided. You are responsible for carrying your personal belongings and your share of any group kit you are provided with in the bikepacking bags we provide.
In the event that you have an issue with your bike or ancillary kit provided, you should contact us straight away. We may be able to advise on repairs over the phone, or alternatively we will come to where you are and attempt to make a repair. If you get a puncture, you will have the basic equipment needed and instructions on how to fix a puncture yourself. If you are not confident doing that, you should contact us so we can come to where you are to make the repair. In all instances where you call upon us, we may be up to and not limited to 2 hours away from the time of receiving your call.
SWIMMING
Wild swimming comes with inherent risk and should be approached with caution. There are some wild swimming spots highlighted in the guide book provided, but you must conduct your own risk assessment and make your own decision about the suitability of swimming based on the local conditions at the time and the ability of each participant. If you make the decision to swim, you do so at your own risk.
FITNESS
Our trips are designed to be challenging but achievable for someone with a reasonable level of fitness. The challenge coming in the form of some big hills and occasional unpaved tracks, the relatively modest distances making it achievable. If you’re not a regular cyclist, then some preparation is recommended to cope with the physical demands of a full day in the saddle over hilly terrain.
Our difficulty ratings are intended as a guide only, we assume you are in good general health and you must satisfy yourself that you are capable of participating in your chosen trip. If you are unsure, please contact us to discuss it.
WEATHER
Barring severely bad weather forcing us to postpone your trip for safety concerns, your trip will go ahead. Wales has its fair of bad weather and you should be prepared for that. It is sometimes unavoidable that you will get wet.
We will provide you with a recommended kit list, but it is your responsibility to dress appropriately for the weather. You are advised to check the weather forecast each morning and plan your day accordingly. If it is raining, take a little longer over your breakfast until it has passed, or seek shelter.
ACCOMMODATION
Your accommodation will either be camping in 2 or 3 man tents, provided by us, in a campsite, or in Bed & Breakfast accommodation. You will specify which accommodation option you would like at the point of booking.
Bed & Breakfast accommodation could include a guesthouse, hotel, hostel, bunkhouse or pub. We will inform you of the specific type of Bed & Breakfast accommodation we have available for your trip in your trip details prior to you making your deposit payment. We aim to provide 3* accommodation, with en-suite facilities, however, this may not always be possible.
You are advised to inform us of your preferred room type allocation for your group on your booking enquiry. We will do our best to fulfil this request, but it may not always be possible. Accommodation could be in private or sharing rooms, but we will make you aware in the booking confirmation. There will be an additional change for single room occupancy.
Our camping groups will camp in selected campsites, which will have the basic facilities of a toilet and shower. Due to the location of some of the campsites we use, there may not be wifi, or 4G signal. The rustic nature of some of the campsites means you should expect the facilities to be communal, quite basic and sometimes rudimentary.
You will be required to share 2 or 3 man tents, which we will provide and you will be expected to pitch yourself. You will also be provided with a sleeping bag, roll mat, inflatable pillow, head torch.
We attempt to use campsites which are within a 20 minute walk from a pub, but on some occasions, it maybe necessary to walk further than this, or take a bus, train or taxi.
For occasions when there is not a café or restaurant within walking distance from the campsite offering breakfast, you will be provided with a mug, spork, stove, tea & coffee making facilities and rehydrated breakfast pouches.
You must not light a fire unless it is permitted by the campsite.
You must be aware there will be other guests on the campsite and in B&B accommodation and we cannot take responsibility for their actions or behaviour.
FOOD
Food and drink is at your own expense. What and where you eat is up to you. The only exception to this is for groups with Bed & Breakfast accommodation, in which case breakfast will be provided and camping groups will be provided with rehydrated breakfast pouches for breakfast. You must inform us of any dietary requirements at the point of booking.
We can not be held responsible for any groups not being able to find anywhere to eat. If you would like us to book a table for you, you must let us know at least 7 days prior to the start of your trip.
BIKES & EQUIPMENT
All bikes, bags, camping equipment and ancillary equipment provided for use for the duration of your trip remain the property of ROAM and shall not be sold, hired or loaned out. A reasonable level of wear and tear is expected over time, and you should notify us if anything is faulty. You are expected to use the equipment provided to you with care and to keep it in good condition.
You must ensure that the bike is securely locked to an immovable object (in a safe location) when left unattended.
The equipment will be inspected upon your return to ensure it is in good working order. In the event of excessive damage that is the result of careless behaviour or mistreatment of equipment, Roam reserves the right to charge you for repair or replacement costs incurred.
We recommend that you use our bikes, but if you do bring your own bike, you must inform us in advance of your trip. It must be well maintained, suitable for mixed-terrain riding and strong enough to support the bikepacking bags containing your kit and belongings. We cannot be held responsible for any cost of repairs, damage or loss of your personal bike or equipment.
OTHER SERVICE PROVIDERS
We list information in the guidebook for third-party services (including, for example, pubs and cafes in the local area, tourist attractions, etc.) however, we cannot endorse any third party explicitly, and are not responsible or liable for materials or services provided by third parties, including personal activities, food and drink or medical advice. It is your responsibility to inform yourself about any outside service, and any contract or agreement you have is between yourself and the Third Party Company or person.
ADDITIONAL ACTIVITIES
Any activities or other trips that you may choose to participate in during your trip are not part of your contracted arrangements with us. We are not responsible for the provision of the activity or trip or for anything that happens during the course of its provision by the operator.
COVID-19
All parties acknowledge the ongoing COVID-19 global crisis and accept our obligations to comply with any official guidance from government or local authorities.
You can make a change to your start date free of charge up to 14 days before departure (please note that you may have to pay full cancellation charges on some elements of your holiday, – you must understand this only applies to Covid-19 issues)
If you, or any members of your group booking, test positive for Covid-19 and have to quarantine for a period of time, or are notified or otherwise become aware that you have, or suspect you may have, come into close contact with someone who has tested positive for Covid-19 and have to self-isolate for a period of time, you must contact us as you may no longer be able to travel. In the event that this applies to you or any member of your group, we will offer you the following options where possible and subject to availability:
- Postponing your trip to a later date. We will offer you an alternative date and notify you of any increase in price, as you may have to pay full cancellation charges on your accommodation.
- If not everyone on the booking is affected, you will have the option to transfer your place on the holiday to another person nominated by you. You must email us with any changes at least 7 days before the trip. Additional charges may apply in the unlikely event we need to change your accommodation as a result of the change.
- Cancelling your trip. Our standard cancellation charges apply. You may be able to claim these costs back from your travel insurance.
PHOTOGRAPHY & PROMOTIONAL MATERIAL
During your trip, we or others may take photographs or film material of you. We will make you aware of this at the start of your trip and you will of course have the option to opt out, otherwise by agreeing to the terms and conditions, you give us permission to use this material, for publicity including, but not limited to, website material and in the media without any compensation to you or explicit written permission by you. Also, if you give us any photographs or photographic material, you agree to allow us the free and unlimited use of any images or material, including for promotional materials. Under 18’s are an exception to this condition. Additional consent will be sought by the company from parents or guardians of the young person.
COMPLAINTS
We will make every effort to ensure your trip runs smoothly, but in the unlikely event that you should have a complaint, please inform a member of ROAM staff immediately so we/they can rectify the problem at the time. If the issue remains unresolved, please write to us within 28 days of the end of your trip.
